In ContactsLaw, an associated entity relationship exists between an entity contact and zero or more individuals. It is used to further describe individuals by providing a link to the entity they are employed by, or are primarily associated with.

Dealing with multiple associated entities

For simplicity's sake, ContactsLaw only allows one 'associated entity' per individual contact.
 
In situations where an individual is related to multiple entities, the associated entity should be one that either:
  • most clearly defines the contact;
  • represents their primary association;
  • is the most frequently-used entity; or
  • appears on the greatest number of matters.

Relationships with additional entities can be modelled by using one of the user-defined relationship types e.g. Partner, Director of etc.  

When the individual is also a client, it's very simple to contact them in relation to a particular firm; you make the entity the primary client of the file and nominate the individual as the file liason. From that point on, any correspondence you build willl bear both the name of the individual and the entity.

For non-client contacts, you must manually indicate which entity you wish to contact them in relation to.

Historical associated entities

You can maintain a list of historical associated entities for a contact by adding an 'effective until' date. When cataloguing documents, the associated entity as at the date of the document will be included in the description.
